1. Scope and who we are

This Privacy Policy describes how Optimotor ("Optimotor," "we," "us," or "our") handles personal information when you use our website, account features, vehicle-search tools, saved vehicles, ownership-cost tools, maintenance analyses, subscriptions, and related services (collectively, the "Service").

The legal name and business address of the entity that operates Optimotor must be confirmed before this draft is published as a final policy.


2. Information we collect

Account and profile information. When you register or update your account, we may receive your name, email address, phone number, account identifier, and address fields. Authentication is provided by Clerk, which also processes credentials, verification information, session information, and authentication events.

Vehicle and preference information. We process vehicles you view or save, vehicle identification numbers (VINs), search criteria, selected locations, and interactions with vehicle listings and product features.

Subscription and transaction information. If you purchase a plan, Stripe processes your payment details. For direct Optimotor purchases, Optimotor remains responsible for the transaction relationship described in the final Terms. Any Managed Payments, “Sold through Link,” Merchant of Record, tax, invoice, receipt, refund, privacy, and support wording is a pending draft and must not be treated as final until legal and accounting approval. We receive and retain related identifiers and records such as customer, checkout-session, subscription, plan, invoice, amount, currency, status, receipt, tax, and billing-period information. We do not receive or store full payment-card numbers through the current Stripe-hosted checkout flow.

Technical and usage information. Our systems and service providers may process IP address, device and browser information, request and authentication logs, timestamps, error information, session data, and feature usage. We also maintain usage counters needed to administer plan limits and access to analyses.

Location and map information. When you use location-based fuel features, the address or place query and selected location are processed to provide suggestions, maps, and nearby results. Browser or device permission may be required before precise location is used.

Third-party listing information. Vehicle, dealer, pricing, location, and listing information may be obtained from third-party data providers. This information is generally about vehicles and dealers rather than an Optimotor user, but it may include business contact information.


3. How we use information

We use information to create and secure accounts; provide search, saved-vehicle, fuel, maintenance-analysis, and subscription features; personalize and maintain the Service; administer plan limits; process and reconcile subscriptions; respond to lawful requests; detect, investigate, and prevent fraud, abuse, security incidents, and technical problems; enforce our terms; and comply with legal obligations.

We may use aggregated or de-identified information to understand and improve the Service where permitted by law. We do not state that de-identified information can never be reidentified unless applicable law requires that commitment.


4. Automated analysis and external data

Optimotor sends vehicle details—such as VIN, year, make, model, trim, mileage, specifications, and general market location—to OpenAI to generate maintenance-related estimates and explanations. Optimotor does not intentionally include your account profile in that request. Generated results may be incomplete or inaccurate and are not professional mechanical advice.

Google Maps Platform processes place-search and map requests used by location-based features. Inventory providers process requests for vehicle listings. Each provider may handle information under its own terms and privacy policy.


5. How we disclose information

We disclose information to vendors that help operate the Service, including Clerk for authentication, Stripe for subscriptions and payments, OpenAI for maintenance-analysis generation, Google Maps Platform for maps and place search, hosting and database providers, and vehicle-inventory providers.

We may also disclose information to professional advisers; to authorities or other parties when reasonably necessary to comply with law or protect rights, safety, and security; and in connection with a financing, merger, acquisition, reorganization, bankruptcy, or sale of assets. We do not sell personal information for money based on the current implementation.


6. Cookies and similar technologies

Optimotor and its authentication and payment providers use cookies, local storage, and similar technologies that are necessary to keep sessions active, secure accounts, remember state, prevent fraud, and complete requested features. The current codebase does not include a separate advertising or behavioral-analytics integration. If those practices change, this policy and any required consent controls must be updated before launch.

You can control cookies through your browser, but blocking necessary technologies may prevent account, checkout, or other features from working.


7. Data retention

We retain personal information for as long as reasonably necessary to provide the Service, maintain account and subscription records, meet legal and accounting requirements, resolve disputes, enforce agreements, and protect the Service. Retention varies by the type of information and the reason it is processed.

Deletion requests may be subject to identity verification and lawful exceptions. Some records may remain in backups or be retained when required for security, fraud prevention, tax, accounting, or legal purposes.


8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No online service or storage method is completely secure, so we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your login methods and for promptly reporting suspected unauthorized access.


9. Your choices and privacy rights

You may be able to review or update certain account information through the Service and remove saved vehicles through the applicable feature. Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction, or objection, or to withdraw consent where processing is based on consent.

We may need to verify your identity and may deny or limit a request where permitted by law. An approved privacy contact method must be added before this draft is published as a final policy.


10. Children

The Service is not directed to children. The minimum permitted age and any jurisdiction-specific parental-consent rule must be approved before this draft is published as a final policy. If we learn that we collected personal information from a child contrary to applicable law, we will take appropriate steps to delete it.


11. International processing

Optimotor and its providers may process information in countries other than the one where you live. Those countries may have different data-protection laws. Where required, we use legally recognized safeguards for cross-border transfers.


12. Changes to this policy

We may update this policy to reflect changes to the Service, our practices, or applicable law. We will post the revised policy and update its effective date. We will provide any additional notice required by law for material changes.
